[ Personal Information Protection Policy ]

International Cargo Service Co., Ltd. (hereafter referred to as “the Company”) recognizes that the protection of the personal information which it obtains through customs operations, product management, bonded warehousing, document storage, and contracted mail order operations is a responsibility which we bear to society. For this reason, the Company has established the following policy regarding personal information protection and shall enact and maintain this policy.

  • (1) The Company shall acquire, use, and provide appropriate personal information limited to the range necessary for contracted operations, hiring of employees, and personnel administration. It shall enact measures to ensure that it does not acquire personal information which exceeds the range necessary for achieving the designated purpose of use (personal information for other purposes).
  • (2) The Company shall observe all laws, national policies, and other guidelines related to the handling of personal information.
  • (3) The Company shall prevent and correct unauthorized access to personal information, as well as leakage, loss, and damage of personal information.
  • (4) The Company shall respond appropriately and promptly to complaints or inquiries related to personal information.
  • (5) The Company shall continually improve its personal information protection management system.

[Concerning the Handling of Personal Information]

2. Purpose of use for disclosed personal information

  • (1) Employee personal information: Shall be used for purposes such as personnel administration, attendance management, wage calculation, and health management.
  • (2) Personal information of applicants for recruitment: Shall be used for providing recruitment information to applicants, selecting applicants for hiring, and for recruitment management within the company.

3. Purpose of use for personal information acquired by means other than direct provision by documents

Personal information acquired during the course of contracted operations: Shall be used for the purpose of carrying out the corresponding contracted operation.

4. Notification of the purpose of use, disclosure of, and corrections to the contents of personal information, as well as its addition and deletion, termination of use, destruction, and termination of provision to third parties

Regarding the personal information which is in the possession of the Company, in the event that a request is received fornotification of the purpose of use for personal information, disclosure of personal information, correction of information contents, addition or deletion, termination of use, destruction, and termination of provision to third parties (hereafter collectively referred to as “Disclosure, Etc.”), the Company shall respond promptly after first verifying the individual’s identity. The personal information which is acquired by the Company during the request procedure shall be used only for verifying the individual’s identity, responding to the request, and other purposes within a range that is related to the request.
If the materials which are provided in order to verify the individual identity contain the permanent address or other sensitive personal information, we request that those portions be blacked out or otherwise removed before the materials are submitted.

  • (1) Documents which must be submitted for the purpose of Disclosure, Etc.
    When requesting Disclosure, Etc., enter all of the required items on request form listed below (A), and send it together with a copy of a document to verify your identity (B). Be aware that if any of the items on the form have not been completed, we will be unable to comply with the request for Disclosure, Etc.
  • (A) Request form designated by the Company

    Driver’s license (copy), passport (copy). If the individual requesting Disclosure, Etc. does not have either a driver’s license or a passport, submit any two of the following documents: certificate of seal-impression (original), health insurance card (copy), pension book (copy).

    In addition to the document for verifying the individual identity,
    • 1) Letter of proxy (if a legal representative, a copy of the family register, certificate of guardianship registration, or other document showing the proxy relationship between the individual and the legal representative)
    • 2) Driver’s license (copy), passport (copy). If the individual requesting Disclosure, Etc. does not have either a driver’s license or a passport, submit any two of the following documents: certificate of seal-impression (original), health insurance card (copy), pension book (copy).
  • (2) Fee
    When requesting notification of the purpose of use for your personal information or disclosure thereof, provide a 500 yen (tax included) stamp as payment of the fee for each request.

[ Notice of Privacy Mark Acquisition ]

On September 20, 2011, International Cargo Service Co., Ltd. received the Privacy Mark certification from the Japan Institute for Promotion of Digital Economy and Community (JIPDEC).

The Privacy Mark system is a system by which the Japan Institute for Promotion of Digital Economy and Community (JIPDEC) certifies that a company has constructed a system for appropriate protection of personal information that conforms to the Japan Industrial Standard JIS Q 15001 “Personal information protection management systems – Requirements”.

As a company which handles personal information, the Company recognizes the importance of personal information protection, and shall continually carry out improvements for the purpose of complete management and operation of personal information protection under the personal information protection policy.
